The Requirements
While our preference is that you have professional experience, we will consider recent graduates as long as they have the characteristics and competencies detailed in the second list, below. To be a good fit for this opportunity you will have:- Solid experience providing administrative support, preferably supporting senior level management.
- Experience with meeting and / or event planning is strongly preferred.
- The ability to develop and follow systems for organizing and maintaining records, data, office processes, etc.
- Computer savvy and proficiency with Microsoft Outlook, Word, Excel, PowerPoint. Knowledge of database programs, project management programs and Salesforce.com is a plus.
- Strong writing skills and the ability to edit internal and external corporation communications for spelling and grammar, to present numerical data effectively, and to read and interpret written information.
- A high school diploma or equivalent; a bachelor's degree is preferred, ideally in Business, Marketing or other relevant field.

The Role
You will provide a variety of support to the Vice President, Sales and Marketing (to whom you will report), three Marketing Directors in-house, and an outside Sales Director. You also will respond to requests from the Sales team and customers, and handle your own independent projects and tasks. You activities will vary in complexity and require mature and professional judgment, a very high degree of accuracy and initiative, tact and diplomacy, excellent communication skills, and the ability to maintain confidentiality.A key aspect of the role will be facilitating communication among all members of the Marketing team, and between Marketing and other departments, customers, vendors and affiliates. Another significant part of the role will be supporting the planning and coordination of events.
More specifically, you will:
- Professionally interface with customers, vendors and company affiliates via all methods of communication (in person, email, phone, etc.).
- Work in close coordination with Directors in planning key meetings and events including physician training programs, national and regional tradeshows, advisory boards, customer and affiliate visits, etc. You'll maintain primary responsibility for organizing schedules, itineraries, equipment needs, catering, speakers, budgets, approvals, etc. You also will work with Directors to ensure all meetings meet compliance requirements. - Work with the Marketing Manager and Directors on obtaining approvals for projects, including appropriate documentation. You'll be a primary resource for the approved document archive (LIT) system.
- Work in coordination with the Marketing Manager to maintain literature database.
- Work with the marketing team to provide support for selective marketing analysis including generating Excel-based reports.
- Provide general administrative support to the VP, Sales and Marketing and Directors, as needed. This will include complex travel arrangements and itineraries, meeting scheduling, file maintenance, report production, correspondence, etc.
- Maintain responsibility for designated administrative systems related to Sales and Marketing, and identify areas for improvement that will contribute to increasing efficiency.
- Provide expert support to the department on PowerPoint, Word and Excel, as needed, on individual projects.
- Perform special projects and assignments as determined by the VP Sales and Marketing and the marketing team. In addition to demonstrating the ability to handle multiple tasks with little or no supervision, you'll provide appropriate status reports.
- Interface with internal and external contacts at a variety of levels in a professional, informed and proactive manner.
- Work closely with other administrative staff to accomplish organizational goals and ensure the efficient daily operation of the company.
- Maintain confidentiality of all corporate, personnel and research matters.
- Perform all responsibilities in accordance with all Federal, State and Company laws, regulations and guidelines.

Many of your activities will represent one piece of a larger whole, and others will depend on you to complete your part so that they can complete theirs. The volume of work will spike from time to time, so you'll need to keep your energy up. For example, when members of the Marketing team travel for a trade show or training, we often take advantage of the travel to squeeze in other events.
While you'll have opportunities to gain higher-level knowledge of marketing, such as exposure to strategy planning, you'll also need to be willing to get into the nitty gritty details; in fact, a large part of the role involves managing details. We run lean and even the executives roll up their sleeves on a regular basis.
